Summary

The Site Logistics Coordinator is a fulltime permanent position and working under the site construction division of Tech-Canada. It is reporting to the Director Construction, and accountable to the Site Superintendents and Project Managers within the division or project specific.

This position will be responsible for overseeing and completing the general duties and responsibilities of all site and project administration, coordination and planning, as well as the forecasting, dispatching, travel, accommodations, purchasing, financial reporting, warranty, IT and/or other site aspects required for internal & external crews associated to the different construction discipline groups.

They will work directly with the Construction, Project and Subcontractor management teams, Human Resource department, the Health and Safety team, the Quality department, Procurement, Finance, and also form part of the Tech-Canada’s Warranty Department, to ensure the administration, dispatch, travel, site readiness and project logistical needs and goals of the company are accomplished in the most efficient, expedient and cost-effective manner for the business unit.

Duties and Responsibilities

The Site Logistics Coordinator performs some or all of the following duties on a regular basis:

Administrative Duties:

  • Coordinates, directs, assists, and completes the operations of the administrative requirements for multiple projects sites and their management simultaneously and on a consistent schedule
  • Provides ancillary assistance to project management and co-ordination teams with the setup of new projects and develops site-specific programs based on the contract needs or requirements with regards to travel, accommodations, flight plans, mob-demob, accounts, and associated budgets for the logistical requirements
  • Assists with the project forecasting and budget creation for administration, travel, accommodation, dispatch, and manpower needs as well as project cost monitoring in conjunction with the sites work scopes and budget
  • Acts as a single point of contact and/or control point for all project administration for the site including advising of on-site procedures & protocols and other company related policies for all company personnel and contractors
  • Ensures all site administration functions are consistently following company process and guidelines at each project site and that project documents are being organized and filed as part of the document control working with the site supervisor directly
  • Reviews all employee submitted hours, spreadsheets, and labour summaries for each project as well as maintaining and updating tracking and reports as required by site supervision, construction or project management for project specific deliverables with regards to COs, invoicing and billing requirements
  • Assists the project PMs with the monitoring, reporting and communication of all site specific materials purchase orders, receiving’s and documentation as well as collation for finance approvals and payment when required and project expense administration
  • Seeks out cost-savings and business relationship building opportunities for dispatch and administrative programs utilizing close vicinity contractors, suppliers, and vendors for the site-specific required logistics of travel and accommodations
  • Stewards the construction teams use, training and implementation of the Procore Construction software, and is the conduit for development of site documents and organization required
  • Organizes, categorizes, and uploads pertinent progress, technical, budgetary, and reporting documents into the server and project specific files for project site document control and records using the Procore online system
  • Administers the development and tracking of the projects commissioning, turnover and quality, and training documentation process from final walk down thru to the warranty period including the collation of documents for O&Ms and contract closeout with the project PMs
  • Acts as the direct coordinating representative for the Warranty Department after project occupancy to handle and manage warranty calls, claims and dispatching of services, manpower or subcontractors in conjunction with the Warranty Manager, and acts as the representative between sites and employees or subcontractors to the appropriate client liaisons, providing assistance where appropriate and development and maintenance/upkeep of warranty log

Dispatching Duties:

  • Maintains an up-to-date manpower schedule for all site-based personnel/subcontractors including shifts, rotations, travel days, transfers, residence, changes in positions and other related workforce co-ordination functions.
  • Incorporates holiday and other time off work requests into a master crew list/ schedule and tracks for supervisory compliance with multiple projects needs across the division
  • Dispatches workers to appropriate locations according to specific requests and requirements from the construction and project management teams and allocates resources when and where applicable with the best cost efficiency and coordination across disciplines
  • Troubleshoot site personnel scheduling conflicts and provide coverage recommendations as required on other projects within the local service area or
  • Resolves manpower and resourcing issues with employees and project delays, cancellations, short notice changes and replacements in accordance with those scope contracts and travel logistics
  • Organizes, books and forecasts employee and subcontractor accommodations for project specific trades to decrease overhead costs to the project by utilizing large scale and shared reduction measures
  • Coordinates with HR/HSE to schedule site or employee specific training, pre-access testing for new hires or workers transferring from other sites prior to deployment to a project and/or during operations of a project as required
  • Coordinates and schedules shipping of employee belongings, site transfers, and general employee logistics and assists with site access, project readiness, and preplanning for all equipment and subcontractors required
  • Assists HSE/PMs in the tracking and submission of employee/subcontractor training and related paperwork as well as maintaining files of education, certificates etc., maintaining certifications onsite, and daily HSE paperwork from a site level
  • Maintains communications with employees and subcontractors to ensure workers are dispatched as they become available based on their qualifications and our site requirement system for the specific projects needs
  • Assists in maintaining a detailed log and tracking of project specific equipment, vehicles, accommodations and other assets to best utilize them from a dispatching
  • Oversees and informs site supervision of potential equipment rental expiries, PO tracking to cost forecasts, deliveries, off-rents and pickups with consistent site communication

Qualifications

Education

  • Work requires an education background with a high school graduate diploma
  • Completion of post-secondary schooling in business, computers or office management is an asset (or equivalent work experience)
  • Must be fluent in English (written and verbal)
  • Must have minimum of valid class 5 driver’s license with clean abstract
  • Minimum 5-7 years of experience in a progressive administrative and coordination role
  • Background in project management and understanding of construction site logistics is an asset

Skills and Experience

  • Advanced proficiency in MS Office Suite, MS Projects, specifically Word, Excel & Outlook, One Drive,
  • Proficiency in Procore Construction Software is an asset
  • Capable user of computer tools and systems to support the role, including Microsoft Office products, and the willingness to introduce new IT tools to drive efficiencies and automation
  • Commitment to Corporate Safety Policies at all times, and maintains a clean driver’s abstract
  • Proven ability to communicate efficiently and effectively to build strong working relationships with project management, clients, employees, sub-contractors, vendors, governing bodies, and all project stake holders both internally and externally of the company
  • Excellent interpersonal skills, with an ability to work under pressure, adapt and a desire to learn, with a strong attention to detail while evaluating priorities and making sound business decisions, and that is schedule and deadline driven
  • Must have well developed multi-tasking and problem-solving skills with an ability to coordinate several high-priority tasks simultaneously and work in a fast-paced environment, with an ability to identify those critical paths
  • Able to manage a fluctuating workload and set project priorities, working under pressure, while continuing to meet deadlines and able to work individually, but with a focus on the overall management of the project and team
  • Accuracy and attention to detail, organizational, time management, technical writing, problem-solving, and decision-making skills
  • Confidence and assertiveness to steward and direct employees, vendors and contractors while maintaining a positive working environment
  • Must be willing to work flexible shifts, rotations and hours as required by the sites or business, with some weekend work required and on call for emergencies

  • Work shifts are 8-10 hours a day, Mon thru Fri, or as per current site requirements dictate
  • Working from Tech-Canada Calgary/Kamloops Office, and/or potential work from home
  • Potential periodic requirement to visit or work onsite (special circumstances)
  • Flexible work hours with the potential for on call emergent dispatch or site needs

Physical Requirements

  • Must be able to work in both office and field environments
  • Must be able to work on a computer for the bulk of their day as well as in the field alternatively

  • Reporting to the Director Construction and responsible for the respective project deliverables
  • Supports all other Construction Managers, Supervisors, Foreman, Journeyman, Apprentices, other internal labour, Sub-Contractors, and 3rdparties on a project-to-project bas
