Reception and Administrative assistant

We are looking for a receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As our receptionist, you will be the first point of contact for our company. The duties include offering administrative support across the organization and various teams. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Duties and responsibilities include:

  • Greet and welcome guests as soon as they arrive to the school
  • Direct visitors and students to the appropriate person and office
  • Answer, screen, and forward incoming phone calls, website site, and other.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Update calendars and schedule meetings (as needed)
  • Keep updated records of office expenses and costs
  • Perform other receptionist duties such as filing and photocopying
  • Print welcome kits, calendars of activities and create new binders according to need
  • Set up school decoration for holidays, partied, etc. (buying and creating)
  • Prepare coffee every morning
  • Creating a “company friendly” environment by valorization and recognizing other people’s job and creating different ways to make them feel part of a family: birthday celebrations, festivities, reunions and goodbye reunions.
  • Checking that classrooms are proper upon arrival and departure
  • Other duties as needed

Requirements:

  • Must be able to speak and write in English and French (other languages are an asset)
  • Proficiency in Microsoft Office Suite
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude

Job Types: Full-time, Permanent

Salary: $16.00-$18.00 per hour

Education:

  • Secondary School (preferred)

Experience:

  • administrative assistant: 1 year (preferred)
  • receptionist: 1 year (preferred)
