Purpose:
Ancillary Services provides a wide range of professionally managed campus services and amenities to enhance the student experience and support York University's mission, vision and priorities. With a commitment to sustainability, equity, diversity and inclusion, Ancillary Services works with internal and external partners to provide exceptional experiences and enhance the quality of campus life in alignment with the University's core values.Reporting to the Manager, Accommodation and Conference Services, the Conference and Events Coordinator (CEC) provides logistical support to the successful implementation of conferences, events and meeting services. The CEC provides administrative support through the coordination of accommodations, facilities and temporary use of space, audio-visual equipment and support, food services, parking and related transportation, and security to internal and external clients. The CEC sources suppliers and service providers (internal and external to York), negotiates service / supplier contracts within specified budget parameters established by the Manager and coordinates the delivery of these supplies and services. The CEC supports the client by attending planning meetings with clients and participates on committees on behalf of the business unit for specific conferences, meetings, film/photo shoots and events. The CEC follows established University policy and procedures, ensuring that appropriate protocol and University standards are integrated into accommodation and conference planning and delivery. The CEC ensures the successful logistical execution of the accommodations, conference, meeting or event and works to cultivate a loyal, repeat customer base for the business unit cost-recovery activities. Supports the unit with business development for conferences, meetings, film/photo shoots and events and assists with implementation of sales/marketing initiatives.

Education:
College Diploma in hospitality, event management, or business administration or the equivalent combination of education and experience or an equivalent of 2 years' recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.

Experience:
3 years of experience in coordinating and planning special events and projects, including experience in a variety of event types and performing duties such as Conference Sales and Event Planning of varied types of events. Banquet and Catering Sales, Hotel Management, Retail/Business Management.

Intermediate level of skill in Microsoft Word, Excel, Access. Demonstrated ability to quickly learn and apply new computer applications.
