As a PMA, you play an integral role assisting us in maintaining the highest level of customer satisfaction and quality service with our clients. You track job progress and provide support to the Project Manager through coordination and organization of the job to ensure that emergency and rebuild projects align with our quality standards and adhere to customer policies and guidelines. To the property owner, adjuster, and client, you are an integral part of the company. You establish trust as you consult with the Project Manager, clients, and vendors, ensuring all questions are answered and regular follow-ups are provided to ensure effective job management is provided.

The Project Manager Assistant handles multiple projects within a fast-paced environment that encounters constant changes and challenges. The ideal candidate will be highly organized and able to manage multiple projects at once, both independently and as part of a team.

DUTIES/RESPONSIBILITIES:

  • Communicate with insured, tenants, owners, property managers, adjusters, brokers and other stakeholders in a timely and effective fashion.
  • Oversee key project deliverables and monitor progress from start to finish.
  • Manage timelines to ensure projects are completed on time.
  • Work with your project manager to prepare files for invoicing in an accurate and timely fashion.
  • Assist the accounting staff with unpaid invoices including following up with customers
  • Ensure client satisfaction on all projects.
  • Support relationships with clients and vendors.
  • Working with your project manager, maintain job management software requirements including entry of dates, journal notes and estimate uploads.
  • Ensure work authorization, completion certificates and all other required documents are obtained from client and uploaded into internal and external claims systems
  • Ensure work order tasks and purchase orders are completed and updated in a timely manner
  • Acts as a liaison between the customer and Project Manager to ensure project success
  • Be aware of all aspects of the scopes of work so proper assistance to the Project Manager can be provided
  • Submit any required information to the client as directed by the Project Manager
  • Report to the Project Manager for all issues
  • Be capable of short-term coverage for the project in the event of Project Manager vacations or absences
  • Comply with established organizational workflow procedures.

REQUIRED SKILLS/ABILITIES:

  • Proficient in Property Restoration Estimation Software: Xactimate, XactAnalysis, and Symbility.
  • Proficient in all technologies; from mobile apps to web-based software and solutions
  • Working knowledge of Microsoft Excel, OneDrive, and Outlook
  • Ability to effectively work remotely, independently, and as a team.
  • Ability to work flexible hours as required, potentially on weekends
  • Manage sensitive information appropriately and maintain confidentiality
  • Clean criminal record, with a criminal record check

EDUCATION AND EXPERIENCE

  • Existing experience in project management and coordination, preferably within the property damage restoration industry
  • Minimum 2 years of direct work experience in property restoration.
  • Excellent working knowledge of insurance industry
  • Excellent communication and presentation skills
  • Highly organized and detail oriented

  • Valid NS driver's license required.

Job Types: Full-time, Permanent

Pay: $40,000.00-$65,000.00 per year
