POSITION: Part-time Clerk (Community Services)
REPORTING TO: Recreation and Fitness Programming Coordinator
HOURS OF WORK: 0-24 hours per week, as assigned (includes evenings and weekends)
SALARY: $21.62 per hour (as per Collective Agreement)
The Clerk provides support and customer service for the Community Service Department. Receptionist responsibilities include, but are not limited to: telephone reception, data entry, document preparation, receiving and processing facility memberships and rentals using the appropriate municipal software. The Clerk will have the ability to demonstrate problem solving capabilities, while adhering to municipal guidelines and policies.
Receptionist Duties:
- Telephone reception and customer service.
- Operating dispatch and internal communication systems.
- Community & special events assistance (ex.: ticket sales).
- Customer service.
- Maintain call log & dispatch (as appropriate).
- Preparation of Word, WordPerfect and Excel documents.
- Data entry & calculation.
- Distribution of tender packages and maintain a log of data collected.
- Stock supplies.
- Organize for the distribution of department promotional flyers.
- Cash receipt input and reconciliation.
- Processing of miscellaneous receipts.
- Preparation of reports for management on various subjects (as required).
- Maintain current customer information (updates as required).
Other Duties:
- Problem solving using established guidelines and policies.
- Update bulletin boards with current activities and schedules.
- Opening and closing of facilities (as required).
- Provide relevant information on Facility bookings and accept appropriate rental forms.
- Office janitorial work (as required).
- Any other duties as assigned within the general scope of the position.
Qualifications and Requirements:
- Minimum two-year post-secondary education (administration, business or related fields) or equivalent experience in the work force.
- Fluent in both official languages (oral and written).
- Working knowledge of computers, printers, and general office equipment (ex. fax, stamp machine & others as required).
- Knowledge of Word, WordPerfect, Excel & Municipal or industry software.
- Working knowledge of Internet functions (ex. email, MS Outlook, and/or others).
- Problem solving capabilities.
- Defibrillator training (where required).
- Demonstrated organization and time management skills.
- Ability to work both independently and as a team member.
- Excellent customer service skills – ability to answer the telephone in a courteous and professional manner to the satisfaction of the employer.
