Executive Assistant

Young married multi-business-owning couple with children seeking a bright, good-natured, Executive Assistant with a positive, can-do attitude to help them operate two small businesses and also care for their (soon to be) two young children.

The executive assistant will be primarily responsible for the administrative day-to-day operations of our two businesses, as well as some light in-house assistance with childcare for our two-year-old little girl, then eventually providing support (mainly in freeing us up from other responsibilities) when our newborn arrives this July.

This is a hybrid on-site/work-from-home role that will require the successful candidate (after completion of training) to perform many tasks at their own home, while also assisting the business owners in their home in Cannington, Ontario.

We are offering a starting rate of $20 - $27 per hour with a $500 signing bonus (paid out after completion of probation) for a candidate who agrees to a one-year commitment. After the successful completion of a probationary period, the candidate will receive a company phone, tablet, gas card, and vehicle. Compensation will be reviewed bi-annually and will increase with performance.

This is a role that will develop over time as strengths and weaknesses are identified. The two businesses are in completely different fields and offer two distinct career paths in healthcare or automotive services.

This person will be needed to assist with the following:

· General Administrative tasks

· Social media posts

· Basic human resources tasks such as reviewing resumes, background checks initial interviews, and scheduling interviews.

· Review and maintenance of confidential information in various databases

· Auditing expense reports and receipts

· Answering phones

· Case management and organization

· Light collections calls for updated credit cards, payment of invoices, etc.

· Filing and generation of documents and records.

· Some light bookkeeping, invoicing, and expense tracking (will provide training).

· Scheduling appointments for customers

· Triaging emails – organizing e-mails in order of their importance

· Ghostwriting/ responding to e-mails on our behalf.

· Light childcare including pickups and drop-offs

· Pickup, and dropoff of supplies, parts, goods, mail, and other errands for the businesses.

· Customer service

Requisites

· Must be Proficient in Microsoft excel, and Microsoft word, and capable of quickly understanding a variety of different software such as google calendar, google sheets, and other proprietary software systems.

· Post secondary degree or diploma

· Excellent communication skills - both oral and written

· Organization is a MUST. You must be able to organize and manage your days on Google Calendar in a way where your team members know what you will be working on at any given time.

· You must be able to use G suite, and Google Meet and collaborate with other team members remotely.

· Experience with Quickbooks is an asset

· You must perform well in a fast-paced environment, there is a LOT going on.

· You must be a quick learner and able to adapt

· You must be able to lift at least 25 lbs.

· You must have a valid G driver's Licence with a clean driving record.

- You must be able to manage your time efficiently and effectively

- You must be able to work a minimum of 35 hours each week, Monday through Friday.

- You must be reliable, responsible, honest, and demonstrate a history of showing up for work.

Schedule is relatively flexible so long as hours are discussed and agreed upon in advance.
