Customer Service Supervisor - Parts
The Customer Service Supervisor – Parts is primarily responsible for leading the customer team in determining customer parts requirements, pricing quotes, placing orders into internal systems and prioritizing parts distribution schedules. The incumbent will also oversee warehouse personnel to ensure that packing and shipping schedules are executed according to schedule.
Key Activities & Responsibilities
- Lead Inside Sales Representatives and Parts Shipping Staff to ensure we meet customer requirements for parts and delivery,
- Monitor and review workload for accuracy and timeliness.
- Identify correct part(s) for customer using engineering drawings, electronic and hard copy manuals, various search engines, technical staff, and other resources.
- Respond to customer calls and emails in order to determine parts requirements.
- Prioritize the parts distribution schedule for customer orders and ensure warehouse personnel pack and ship per the schedule,
- Work with supply chain and parts estimators to determine cost and develop selling price per guidelines.
- Prepare detailed parts quotes per customer enquiries,
- Work with customers to resolve basic equipment issues i.e., breakdowns, wrong parts, replacement solutions, returns, warranties etc.
- Work with Engineering, Service, and Controls personnel to determine customer parts requirements,
- Follow up on quotes with Regional Sales Managers and customers.
- Lead / attend meetings in order to communicate action items to warehouse and customer service team,
- Coordinate cross training with team members.
- Provide departmental updates as required to the Customer Service Manager – Parts.
- Produce and distribute daily, monthly, quarterly reports as needed.
- Monitor predetermined KPI’s for both Customer Service and Parts Shipping.
- Travel to customer locations / trade shows from time to time,
- Attend customer service school lunches, dinners, and other functions as necessary (may be extended work hours)
- Conduct regular safety meetings and monitor work performance to ensure team members are working in a safe and efficient manner.

To be successful in this role, your experience and competencies are:
- A post-secondary education in a related discipline,
- Three to five years of experience in sales, customer service and/or parts distribution preferably at a management / supervisory level,
- Excellent analytical / problem-solving, organization, and negotiation skills
- A strong mechanical aptitude. Knowledge of heavy equipment / machinery in parts or systems is preferred,
- Previous experience working within an ERP system along with the ability to use Microsoft office software Word, Excel, PowerPoint, Teams.
- Must hold a valid passport and be able to travel outside of North America,
- Excellent communication skills along with the ability to handle and resolve customer issues.
- Experience working in multiple tasks environment required.
